VR Training Cost Built Around You
Most of our clients license Avatar Academy on a site basis: one licence covering a location, with no per-seat charges and no limit on how many operators train. That structure suits organisations where the value of VR training compounds as more of the workforce uses it, and it is the model we most often recommend.
But it is not the only route. Some organisations prefer a different commercial structure for VR training cost. We would rather shape the licence around how you operate than force your operation into a pricing model. Whether that means site licensing, project-based engagement for a bespoke build, or an arrangement specific to your circumstances, the conversation starts with what works for you.
What never changes is what sits behind the licence: the same platform, the same centralised content management, and the same automatic training records, whether you are running one course at one facility or a full training infrastructure across a global operation.
What Influences the Investment
Every Avatar Academy engagement is shaped by a small number of factors:
Licensing existing courses from our library, such as robotic arm operation, injection moulding, and fire safety, is the fastest and most economical route: live in hours, with support included. Bespoke simulations built around your procedures involve a development engagement, typically delivered in 6 to 16 weeks depending on complexity.
A single facility and a global multi-site rollout are different conversations, though the platform handles both identically. Content updates, user management, and training records are centralised regardless of how many locations you operate, so adding a site never means rebuilding your training programme.
We can supply Meta Quest headsets as part of your deployment, or you can procure your own. Either works. The choice is entirely yours.
Some organisations start with one course for one team. Others build a training infrastructure across their operation. Both are valid starting points, and the first often becomes the second.
What Is Always Included

Whatever the shape of your licence, some things are standard and never priced separately:
- Ongoing technical support for the life of your deployment
- Platform updates and improvements
- Centralised content management across all your users and sites
- Automatic training records and performance tracking, as evidence for your own sign-off
- Setup, configuration, and onboarding support from our team
There are no support tiers, no paid upgrade path to unlock reporting, and no surprise line items after deployment. If it is part of running Avatar Academy well, it is part of the licence.

What the Investment Returns
The commercial case for Avatar Academy is not theoretical. Freudenberg Medical expected a one-year payback and achieved it in a couple of months, alongside a 75% reduction in training lead time and a 50% reduction in scrap. Boston Scientific has completed more than 16,000 line clearance training sessions in Avatar Academy. “In the space of a day you can run six or seven times the same training process that previously would take four or five weeks,” says Thomas Quilty, Process Engineering.
The right comparison is not Avatar Academy against doing nothing. It is Avatar Academy’s VR training cost against what your current training model already costs: instructor time, equipment access, production downtime, scrap during onboarding, and the time spent keeping training records. For most organisations, that number is significantly larger than they have calculated. Our One Bad Shift series breaks down exactly where those costs hide.
